Start planning your event

Look at the campus calendar and select a date and time that minimizes overlapping events.

If you have a Wofford email, visit Skedda. Although Skedda will lead you through the steps, use the guide below to think through logistics for a successful event.

If you are off campus and want to use Wofford facilities, contact Amanda Gilman (gilmanaf@wofford.edu).

Things to consider

  • What’s your budget?
  • Who’s your audience?
  • What’s the purpose of your event?
  • How will you measure the success of your event?

Departmental support

  • Communications (Get the word out with posters, Daily Announcements, social media, etc. Will you need video or photography?)
  • Security/Campus Safety (What type of crowd are you expecting? Will you need traffic support? Are you bringing someone to campus that needs a security presence?)
  • Food/beverage (Will you serve refreshments or have a reception? Contact AVI Foodsystems Inc.)
  • Facilities (Will you need tables, chairs, podiums, etc.? Do you need housekeeping before or after?)
  • Information Technology (Do you need to connect to campus technology? Will you need audio or visuals?)

Wofford reservation policy

Wofford College uses Skedda for campus room reservations. Skedda makes reserving spaces on campus easy and efficient. Faculty, staff and students who want to create bookings on behalf of college departments or chartered student organizations may sign into Skedda and reserve the space. This is for co-curricular events or activities outside of the academic course schedule. Classrooms for regular classes are scheduled through the registrar’s office.

For faculty and staff:

  • View and book rooms. Everyone can view Skedda room availability.
  • You may book reservations directly via the online reservation system calendar. Reservations should be made for the current semester only. If you require advance reservations, submit an email request to events@wofford.edu. If spaces are booked further in advance, they may be subject to relocation due to needs for priority events.
  • The default calendar is day view, but you may view weekly or monthly to check availability.
  • If you book a room for another person, you must include their name and contact information in the notes.
  • If you need to cancel a reservation, please log in to your Skedda account and cancel it as soon as possible.
  • For technical help with Skedda, please contact Melissa Webber at webberml@wofford.edu.

For students:

  • View room availability. Everyone can view Skedda room availability.
  • For students authorized to make bookings on behalf of a chartered student organization, you may book reservations directly via the online reservation system calendar. Reservations should be made for the current semester only. If you require advance reservations, submit an email request to events@wofford.edu. If spaces are booked further in advance, they may be subject to relocation due to needs for priority events.
  • To make an independent reservation outside of a chartered group, please contact Wofford’s Division of Campus Life and Student Development at 864-597-4040, Beth Clardy at clardyby@wofford.edu or events@wofford.edu.
  • If you need to cancel a reservation, please do so in Skedda as soon as possible.

Event planning:

  • Cleanup: At the end of your meeting/event, please clean up all food and trash, wipe tables and blot any carpet spills. Use trash and recycling bins. Leave the room as you found it (or better). If your event produces a large amount of trash, you will need to submit a maintenance request for removal.
  • Room configuration: Tables and chairs may be reconfigured but must be reset at the end of your meeting. Please handle furniture with care. Turn off lights.
  • Audio/visual equipment: It is the user’s responsibility to arrange for AV assistance and delivery and pickup of any A/V equipment. If you would like to request assistance, contact helprequest.wofford.edu.
  • Catering services: It is the user’s responsibility to oversee food delivery and pickup. Contact AVI.
